Inviting and approving teachers

Adding a teacher to your institution — share the code, then approve the request with one tap.

The screenshots show the app in Bangla, its main language. The buttons sit in the same places in English.

Tap the "প্রতিষ্ঠান" (Institution) tab, then tap "শিক্ষক যোগ দিতে চান" (Teachers want to join).
On the "শিক্ষক আমন্ত্রণ" (Teacher invitation) page a 6-character code is created by itself. Wait a moment for it to appear.
Tap "ছবি শেয়ার করুন" (Share image) to send it to the teacher on WhatsApp. To send just the code, tap "কোড কপি" (Copy code).
Keep this page open. When the teacher sends a request with the code, their name appears below under "যোগদানের অনুরোধ" (Join requests).
Tap "অনুমোদন" (Approve) next to the teacher's name. One tap makes them a member.
A message saying "আর একটি ধাপ বাকি" (One more step) appears — follow it and assign the teacher their classes.

Skip this and the teacher can sign in but sees no classes at all, and will think the app is broken. Assigning the classes is the part that matters.
Assigning the class takes 2 minutes: tap "এডিট" (Edit) on the class card → "শ্রেণী শিক্ষক যোগ করুন" (Add class teacher) → tick the teacher → "ঠিক আছে" → "ঠিক আছে" again. Full version with pictures: hazirakhata.xyz/tutorials/assign-class-teacher/

A teacher must be ticked in every class they teach — ticking once does not cover all classes.
If the wrong person requests, tap "বাতিল" (Reject), then confirm with "বাতিল করুন".
You can also add a teacher directly by phone number or email, without a code ("যোগ করুন" (Add) in the institution profile). After that, their card reads "অপেক্ষায় আছে — তিনি এখনো একসেপ্ট করেননি" (Waiting — they have not accepted yet), with "এখন করণীয় — তার নিজের ফোনে" (Next step — on their own phone) under it. The app is not processing or stuck — the next move is on their phone. At this point the card gives you only "ডিলিট" (Delete) and "এডিট" (Edit), no "এপ্রুভ" (Approve) — that is correct.
Tell the person you added to open Hazira Khata on their own phone and sign in with exactly that number or email ("ফোন নম্বর দিয়ে" (With phone number) or "জিমেইল দিয়ে" (With Gmail)). A message "প্রতিষ্ঠানের সাথে যুক্ত হোন" (Join the institution) appears (the Institution tab also shows an "আপনাকে প্রতিষ্ঠানে যুক্ত করতে চাওয়া হয়েছে" card) — they must tap "একসেপ্ট করুন" (Accept) there.

Accepting works only in the phone app. On the website (app.hazirakhata.xyz) the message reads that the invitation must be accepted by opening the phone app — the web cannot accept yet. If you stay on the web, the card will say "waiting" forever. Also, an account that is already in a school does not get the accept message.
Once they accept, the "এপ্রুভ" (Approve) button appears on that card in your institution profile. Tap it — the app shows the name and role and asks once; confirm if correct. Then assign their classes, as in the "আর একটি ধাপ বাকি" (One more step) part above.

Common questions

I tap "অনুমোদন" and it says I cannot approve. Why?

Only an institution admin can approve. If you are a member but not an admin the button will not work no matter how many times you tap it. Ask your admin to do it.

How long does the code work?

30 days. If the teacher has not joined by then, get a fresh code — just open the same page again.

Do I need internet to create the code?

Yes. Without internet the code cannot be created and you will see "আবার চেষ্টা করুন" (Try again). Retry once you are online.

Can the QR be scanned on the same phone that has the image?

No — you cannot scan a QR on the phone displaying it; the teacher needs their own phone. The easy way is to send the code as text and let them type it in.

The card says "অপেক্ষায় আছে — তিনি এখনো একসেপ্ট করেননি" and I see no option. What do I do?

First: when you add a teacher with the school Gmail, that Gmail counts as a separate person — completely separate from your own account, and one Gmail is one member. If several teachers share one Gmail the app sees them as one person, so it is better to add each teacher with their own phone number. If you are already admin under that same Gmail, it is already in the school — no accept will ever arrive; remove the card with "ডিলিট". If that Gmail has its own separate school, accept will also fail with "আপনার নিজের একটি প্রতিষ্ঠান আছে। আগে সেটি ছাড়ুন, তারপর অন্য প্রতিষ্ঠানে যুক্ত হতে পারবেন।" (You have your own institution — leave it first.) Otherwise the card is fine and there is nothing for you to tap — the step belongs to that Gmail on a phone. To do it yourself on one phone: (1) tap the three lines at the top left (menu), tap "লগ আউট" (Log out) at the very bottom and confirm (be online first, and remember how your admin account signs in — phone number or Gmail). (2) On the login page tap "জিমেইল দিয়ে" and pick the school Gmail. (3) The home screen shows "প্রতিষ্ঠানের সাথে যুক্ত হোন" — tap "একসেপ্ট করুন". (4) Log out again from the menu. (5) Sign back in with the method your admin account uses, open the institution profile and tap "এপ্রুভ" on that card. Logging out deletes nothing; if you sign back in the wrong way everything looks empty — it is not lost, just redo step (5) correctly.
