Running two institutions
Two schools or madrasas, one app? Many people think it is impossible, or that the money will mix. Neither is true. The rule is below.
You can run two institutions. One account holds one institution, so sign in with a second Gmail or number for the second one. Attendance, fees and the income-expense book of each stay completely separate.
-
The rule first: one account (one Gmail or one phone number) = one institution. To run a second institution you need a second account, meaning another Gmail or another phone number. You do not have to leave the first institution.
Do not leave the first institution to open the second. After leaving, that account no longer shows the first one. To keep both, use two separate accounts.
-
The second account must be completely separate. A Gmail or number you added as another way into the first account will not work: signing in with it opens the first account again. Use a Gmail or number you have never used with the first institution.
If you use another phone number, the OTP goes to it, so use a SIM you actually hold.
-
To move from one account to the other: tap the three lines at the top left of the phone. Near the bottom of the menu is a red "লগ আউট" (Log out). Tap it. The app asks "আপনি কি লগ আউট করতে চান? আবার লগইন করতে হবে।" (Do you want to log out? You will have to log in again.) Confirm and the login page appears.
Logging out deletes nothing. Everything stays with the institution and is there when you sign in to that account again.
-
On the login page choose "জিমেইল দিয়ে" (with Gmail) or "ফোন নম্বর দিয়ে" (with phone number) and sign in with the second account's Gmail or number. For a new account, open your second institution on the "প্রতিষ্ঠান" tab; details are on the page "How to set up your institution" (setup-institution). If the second institution already exists, signing in simply opens it. To go back to the first, log out the same way and sign in with the first account.
After sign-in the app may ask "এটাই কি আপনার একাউন্ট?" (Is this your account?) because this phone was in another account before. If you meant to sign in to the second institution, tap "এটাই ঠিক আছে" (This is right). "লগআউট করে … দিয়ে ঢুকি" (Log out and sign in with …) logs you out again and returns to the earlier method's login. Nothing is deleted; they are two separate accounts.
-
The two institutions never mix. Attendance, fees, classes, students and the income-expense book each live in the institution of their own account. What you write in one never lands in the other.
-
If the income-expense figures look mixed, first look at the two buttons at the top of the "আয়-ব্যয়" tab: "ব্যক্তিগত" (Personal) and "প্রাতিষ্ঠানিক" (Institutional). The new-transaction page names the book it will write to: "ব্যক্তিগত হিসাবে যোগ হবে — শুধু আপনি দেখবেন" or "প্রাতিষ্ঠানিক হিসাবে যোগ হবে — এডমিনরা দেখবেন". A school expense written into the personal book does not show in the institutional book.
The personal book belongs to your account, not to an institution, and two accounts have two separate personal books. Read that line once before typing the figure.
-
To keep both open on a computer, open app.hazirakhata.xyz in two separate places: one normal Chrome window and one incognito window (or another Chrome profile), and sign in with a different account in each. See the page "Using Hazira Khata on a computer or laptop" (use-on-computer).
One window holds one account at a time. For the second in the same window you must log out first.
Common questions
Can I run 2 institutions at the same time?
Yes. One account holds one institution, so for the second you sign in with another Gmail or phone number. Attendance, fees and the income-expense book of the two stay completely separate.
Why does my income-expense look mixed?
The books of two institutions do not mix. Usually a school expense has been written into the "ব্যক্তিগত" (Personal) book and so does not appear in the institutional one. Choose "প্রাতিষ্ঠানিক" at the top of the আয়-ব্যয় tab before writing, and read the line at the top of the new-transaction page.
Do I have to leave the first institution to open a second?
No. Do not leave the first. After leaving, that account no longer shows it. Sign in with a separate Gmail or number for the second and you keep both.
Can one phone show both institutions?
Yes, but one at a time. Log out of one and sign in to the other account. To see both side by side use two windows on a computer.
